Time Keeper: How to review and reconcile time entries

What is a Time Keeper?


Time Keepers and Employee Proxy Time Keepers review and reconcile time entries, prior to approval by the Time Approver. Time Keepers may modify, reject and add comments to time entries.


Only Time Approvers should approve time entries.


How to review and reconcile time entries


Navigate to Time Approval


  1. Login to Self-Service (How to login to Self-Service)


For Employee Proxy Time Keepers: Upon logging in, you will be prompted to choose an account to view. Your non-proxy account will be marked with a blue You ribbon. Select the employee proxy account you would like to view and click Continue.
  1. Click Employee
  2. Select Time Approval


Filter time entries


  1. Under Pay Cycles, check *Bi-Weekly Payrolls to view a list of pay periods
  2. Check the pay dates you'd like to review
  3. Check the Status you'd like to review
  • Submitted: Time entries that are submitted
  • Not Complete: Time entries where some time has been entered
  • No Time Entered: Time entries where no time has been entered
  • Approved: Time entries that are approved
  • Rejected: Time entries that are rejected
  1. Click Apply Filters to proceed
  • After applying the filters, a list of employees will appear
  • To clear out the check boxes or filters, click Reset Filters


Review time entries


  1. Click on an employee's name to reveal Bi-Weekly Payroll rows, that match the selected filters
  2. Click on a Bi-Weekly Payroll row, to view information for each week in the pay period
  3. Click View on a Bi-Weekly Payroll row, or on a specific pay period week, to view detailed information about the time entry
  • If the employee has entered their time entry, you will see the hours they entered in rows by Earn Type below Work Schedule
  • If the the employee did not enter their time entry, the rows below Work Schedule will appear blank


Time entry details may only be viewed one week at at time. Use the right and left arrows at the top of the page to navigate between Bi-Weekly Payroll weeks.


Modify time entries


  1. Manually edit hours by Earn Type row under the corresponding day columns


If a Full Time scheduled employee did not enter their time entry, click the blue Apply button in the Work Schedule row to automatically apply scheduled work hours
  1. Add Additional Time and manually make changes, if necessary
  • Click + Additional Time
  • Click Choose Earn Type
  • Scroll to and select the accurate earn type (e.g., Administrative Leave).
  • Manually enter the hours in the new Earn Type row under the corresponding day columns.
  1. Delete Additional Time by clicking the Remove Additional Time button on the corresponding Earn Type row
  2. Click Save at the top when complete


To cancel your changes, click on Other Actions and select Cancel Changes

Reject or comment on time entries


  1. Click on Other Actions and select Reject or Comments
  2. Enter the relevant reason or message in the text box and click Reject or Send


Rejecting a time entry will send an email notification to the employee's Triton Email. Commenting will not send an email notification. Employees will be able to view all comments and rejections on a weekly time entry by clicking the Comments button next to + Additional Time.
